Ø Assist in day-to-day office management working by composing correspondence, typing documents, statements, and reports & to maintain record of all correspondence & Ensures confidentiality of information handled.
Ø Setup & coordinate Departmental coordination meetings & session, /Ensuring that the Management is well-prepared for the meeting.
Ø Provide administrative support.
Ø Interaction Coordination / with both internal and external management group, departments & interfaces.
Ø To assist in conduction of multiple Departmental Meetings/tasks & Prepare Agendas & MOMs and circulating to all members, participants & concerned departments to ensure the timely implementation/rectification of actions & assignments & their feedback.
Ø Access to the Boss when the Boss is away and Screening telephone calls, enquiries, requests & handling appropriately.
Ø Liaison with internal & external affairs & Meet & Greet Vendors, visitors & provide maximum info regarding their concerned & cases.
Ø Preparation of multiple schedules
Ø Assist in day-to-day operations/function i.e confirmation/arrangements for meetings, workshops, seminars, trainings, assignment and conferences and liaise with different plants/sections/projects and when required for facilitation and follow-up.
Effectively maintaining/Filings/record keeping/retrieving/Admin/HR/Procurement case files/finance & others Internal/External Files/corporate documentation, memorandums, Office Records, Technical Manuals & Documents in an orderly manner.
Ø Maintaining the record of equipment technical data sheets/History & Daily Production, Dispatch, Bulk and Raw Materials.
Ø Secretarial work of the office including checking emails, internet search, meetings with clients and internal staff.
Ø Reminding boss on various appointments and meetings and manage changes in daily schedules as per convenience of Boss.
