Job Description:

Iman Group is seeking a proactive and organized Admin Assistant to support our administrative operations. The ideal candidate will be detail-oriented, efficient, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

  • Assisting Manager Admin for admin affairs
  • Train personnel and allocate responsibilities and office space
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency
  • Assist and support front desk management in handling visitors and clients.
  • Approvals regarding the Delivery of equipment (in the absence of the Admin in charge).
  • Interact with other department heads in managing the entire administrative operations.
  • Monitor inventory of office supplies and the purchasing of new material (kitchen and
  • stationery) with attention to budgetary constraints
  • Provides supplies by identifying needs for reception, switchboard, mailroom, and kitchen; establishes policies, procedures, and work schedules.
  • Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
  • Oversee facilities services, maintenance activities and tradespersons (e.g. electricians)
  • Organize and supervise other office activities (recycling, renovations, event planning etc.)
  • Ensure operations adhere to policies and regulations
  • Providing Logistics support for foundation pads and earthing etc. for generato
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations
  • All security-related issues
  • Surveillance of building to prevent theft and other security issues
  • Ensuring all the cameras are working.
  • Protocol Officer for visitors from Armed Forces
  • Maintenance of office bikes and maintaining log books, registrations and tokens etc. of all cars and motor cycles (in the absence of Admin in charge).
  • Any other task assigned by Management

Requirements:

  • Bachelor's degree in Business Administration or related field

  • 1–3 years of relevant experience in an administrative role

  • Strong organizational and multitasking skills

  • Proficiency in MS Office (Word, Excel, PowerPoint)

  • Good communication skills (verbal and written)

  • Ability to maintain confidentiality and professionalism
