Job Description: |
Iman Group is seeking a proactive and organized Admin Assistant to support our administrative operations. The ideal candidate will be detail-oriented, efficient, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
- Assisting Manager Admin for admin affairs
- Train personnel and allocate responsibilities and office space
- Assess staff performance and provide coaching and guidance to ensure maximum efficiency
- Assist and support front desk management in handling visitors and clients.
- Approvals regarding the Delivery of equipment (in the absence of the Admin in charge).
- Interact with other department heads in managing the entire administrative operations.
- Monitor inventory of office supplies and the purchasing of new material (kitchen and
- stationery) with attention to budgetary constraints
- Provides supplies by identifying needs for reception, switchboard, mailroom, and kitchen; establishes policies, procedures, and work schedules.
- Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
- Oversee facilities services, maintenance activities and tradespersons (e.g. electricians)
- Organize and supervise other office activities (recycling, renovations, event planning etc.)
- Ensure operations adhere to policies and regulations
- Providing Logistics support for foundation pads and earthing etc. for generato
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
- All security-related issues
- Surveillance of building to prevent theft and other security issues
- Ensuring all the cameras are working.
- Protocol Officer for visitors from Armed Forces
- Maintenance of office bikes and maintaining log books, registrations and tokens etc. of all cars and motor cycles (in the absence of Admin in charge).
- Any other task assigned by Management
Requirements:
Bachelor's degree in Business Administration or related field
1–3 years of relevant experience in an administrative role
Strong organizational and multitasking skills
Proficiency in MS Office (Word, Excel, PowerPoint)
Good communication skills (verbal and written)
Ability to maintain confidentiality and professionalism
